Build a Volunteer Project

Use these tips, toolkits, and templates to build a project for your team, execute the project and evaluate the experience.

    Board Service

    Volunteer PTO

    Did you know you have up to 10 hours of annual PTO to volunteer for causes you care about? Log those PTA, coaching, and other service hours on the Your Cause portal so that we can track employee use of this benefit and become eligible for Volunteer Grants (see below)

    Eligibility:

    All full-time regular Gannett employees are eligible. The 10 hours of paid time off during regularly scheduled work hours may be spread over several days during the calendar year. The hours of volunteer time will not be eligible to be paid at any overtime rate and also will not count toward a weekly determination of whether other hours are to be paid at overtime.

    Organizations:

    Charitable organizations classified by the IRS as 501(c)(3) non-profit, public charities and municipalities (i.e. public schools) are eligible.

    Activities:

    Volunteer activities that benefit the local community are eligible, including, but not limited to serving meals at a soup kitchen; helping to build houses; mentoring area youths; leading a scout troop; assisting students with reading or writing; chaperoning field trips.

    Not Eligible:

    Programs or initiatives where the primary purpose is the promotion of religious doctrine or tenets. Activities to carry on propaganda, to attempt to influence legislation or the outcome of any public election, or to carry on any voter registration drive. Volunteer activities performed on personal time (e.g., on vacation days, holidays, weekends, before or after regularly scheduled work hours, etc.) are not eligible for this program. Volunteer activities should not reflect negatively on the company or conflict with our responsibility to provide fair and objective news coverage.

      To Participate 

      The employee selects a volunteer activity and confirms dates and times with the organization. Consult with your supervisor at least 7 days in advance of the requested time off. All employees: Go to Dayforce to fill out a Time Away request and select Volunteer as the type of PTO. Your supervisor will approve your request through the regular process. Nonexempt employees: Note, employees on managed PTO are still required to fill out a time away request on DayForce.

      FAQ

      How do I know if an organization or activity is eligible?

      Ask your contact at the organization if it is a taxexempt 501(c)(3) public charity. Public schools and other government entities are automatically taxexempt and qualify. If you have questions about a specific organization or activity, you may email foundation@gannett.com for assistance.

      Can I use the hours to volunteer for an activity outside my local community?

      No, the intent of the program is to make a difference in local communities where Gannett employees live and work. Therefore, volunteering in other locations is not eligible for this program.

      How should I enter these hours on my timesheet?

      You should record this time as Volunteer/Charity hours. These hours will not be paid at any overtime rate nor will these hours count toward a weekly determination of whether other hours are to be paid at overtime.

      Do volunteer hours carry over from year to year?

      No, each calendar year employees are eligible to use up to 10 hours of paid time off during regularly scheduled work hours for volunteer activities in their local community. If the hours are not used, they do not carry over to the next year.

      Are these volunteer hours eligible for a VolunteerMatch grant?

      Yes, if you volunteer 10 hours for an eligible non-profit, you may submit a request to turn your volunteer hours into dollars. Gannett Foundation’s VolunteerMatch program will “match” 10 hours of your volunteer time with a $100 grant to the charity. Maximum two grants per employee per year (i.e. If you volunteer for 10+ hours at two different nonprofit organizations, you can request a total of two $100 grants). To log your volunteer hours and request a VolunteerMatch grant, visit www.gannett.yourcause.com.

      Volunteer Match Grant

      Get money for your favorite cause! Employees are eligible for up to two $100 grants per year in exchange for completing and recording 10 volunteer hours (per grant).

      • Volunteer Matching gifts will be made to charitable organizations that qualify for federal income tax exemption under section 501c(3) of the U.S. Internal Revenue Code. 
      • A volunteer match must be requested in the year in which the volunteering occurred. 
      • The maximum total volunteer matching contributions per calendar year is $200 (up to 2 $100 volunteer grants per year per person).

      Gannett In ACTion

      Starting in 2023 the Foundation will bring back a corporate wide day of service in markets across the country! See you can get involved. 

      Gannett Day of Service 

      A day dedicated for employees corporate wide to participate in locally organized volunteer events.                                                                                         

      • Example: Sitewide Food Drives, Waterway cleanup / debris clean up 

      How is it organized?  

      Corporate will select the annual day for the event, outline the program for Market Leaders and Editors who will recruit a local Gannett Community Day Leader(s). Corporate will provide a project leader training, templated ads, stories, PRs, volunteer registration portal, evaluation and impact forms.

      Role of the Local Project Leader  

      • Attend the Project Leader Training 
      • Develop a local service project for estimated number of participants with a local nonprofit organization. Depending on the expected participation, it may be easiest to develop multiple projects.  
      • Register your project in YourCause portal 
      • Plan the event, secure supplies, take photos at the event, coordinate coverage with content team. 
      • Recruit volunteers 
      • Accept and distribute tshirt if provided by corporate 
      • Work with local Gannett leadership to plan refreshments if any 
      • Attend and lead the project(s).  
      • Complete a day of service evaluation 

      How to use Your Cause to sign up and  manage volunteers. 

      • Login to OKTA Gannett with your Gannett email 
      • Click on the “ Your Cause + Blackbaud” Icon box 
      • Click on “Volunteer” to access event management 
      • Enter in event details and upload photos, and shifts.  
      • Click on the second toolbar “Create” 
      • Create an event and provide information about the activity, Enter in event details and can add photos, and shifts.(Questions for volunteers for t-shirt sizes and other information.) 
      • Use the event preview to view event before officially uploading the event. 
      • Go to “Manage” on the toolbar if edits are needed and then click the event you just created to upload volunteer information.( Can add participants and enter disclaimers as well in managing event tab). 
      • Save all changes made to the document after inputting new information on the bottom of the page. 
      • Go back to “Edit Event Details”  save again, to view the event preview. 
      • To record the hours you have spent on the event, go to “Record Hours” and click on the event created to log hours for volunteering.  
      • When all details are complete in the document, click “publish” at the top right corner of the page.  
      • Once published you will have the opportunity to add participants, to record the hours you have spent on the event, go to “Record Hours” and click on the event created to log hours for volunteering. 

      To manage employees at  your event: 

      • If you have an existing list you can copy into the template, use the template and upload it. 
      • Use the employees search to add other employees from the company Can look up people individually or upload a template to generate emails  
      • Guest if allowed can also be invited for family and friend event you can message participants and individual email accounts through the manage button
